How confirmation-statement.co.uk uses the information you send, and the rights you have over it.
Working draft. This is a plain-English placeholder for the service. Have a solicitor review it before paid orders are taken.
Who we are
confirmation-statement.co.uk is a done-for-you filing service for UK confirmation statements. The operator of this website is the controller of the personal information sent through it. To reach us, email steve@inshesbookkeeping.co.uk or use the contact form.
What we collect
Orders and messages can include:
- Your name, email address, phone number, and role.
- The company name, company number, registered office postcode, and notes about changes on the company record.
- The company authentication code, each director’s name and date of birth, and a personal code for each director. We use these only to file the confirmation statement.
- The notes you choose to add.
The £59.99 is taken in Stripe Checkout before we file. We do not receive or store the card number. Do not send card numbers by email or in the notes. Put filing codes on the order form, not in a general email.
Why we use it
We use the information to prepare the filing you asked for, to take the payment that comes with the order, to file it with Companies House, and to email you if anything needs a fix. The legal basis is steps towards a contract, and then the contract itself. We also keep records of paid work because UK tax and accounting rules expect a business to be able to show what it charged.
The details needed for the confirmation statement, including the filing codes, are used when we file with Companies House. We do not publish those codes. Companies House publishes parts of the company record. We do not sell personal information, and we do not use it for advertising.
Where it is stored
An order or message is saved as a JSON file on the server that receives the form, in a folder that is not part of the public website. If that file cannot be written, which can happen on a host with a temporary disk, the same record is written to the server log instead so it is not lost. Those logs should be treated as confidential.
We keep order records for up to six years after the filing, then delete them, unless a longer period is required by law. Contact messages are kept for up to two years.
Your rights
You can ask for a copy of your information, ask us to correct it, and ask us to delete it where we are allowed to. You can also object to how it is used, and you can complain to the Information Commissioner’s Office at ico.org.uk (opens in a new tab). Use the contact form and say that the message is a data request. Some details that have already been filed at Companies House have to stay on the public register even if we delete our copy.
